TERMS & CONDITIONS
The following terms and conditions defines the elements of the contract between you (hereafter referred as « you » or « participant ») and us (hereafter referred as « we » or Altitude Cycling Tours). They define our respective rights and obligations. You must read them through carefully and agree to them before confirming a booking.
Altitude Cycling Tours
Altitude Cycling Tours is a trading name of the company Arcalod Sport Organization SAS, registred in Annecy (France) under the number 834 146 896.
Registered office: 309 Ancienne Route de Combloux 74700 Sallanches
All prices are quoted in Euros. They are subject to change until you have booked and paid your deposit (please refer to the website for the up-to-date prices). The prices are final once you have booked and paid your deposit. They will be confirmed to you together with the confirmation of your registration.
The price includes:
- Accommodation on the basis of two persons sharing a room.
- Breakfast, evening dinner, post-ride collation, food/energy products and drinks during the ride
- Airport transfers on arrival and departure day for you, your bags and your bike.
- All baggage transfers from hotel to hotel
- All transfers on route
- Support crew including at least one or two guides on the bike, a mechanic.
- One or two assistance vehicles.
- A complete road-book for the whole tour.
- Printed daily route information and maps.
- GPS download route information.
- Laundry service.
- Mechanical assistance.
- Massage service.
- E-bike rent on the e-tours
Not included, but optional subject to a price supplement:
- Single occupancy accommodation
- Bike Hire (except e-bike rent on the special e-tours)
Not included, and to your own responsabilty and cost :
- Basically, all expenses not included in our holiday prices or agreed options.
- Your travel to and from the airport mentioned as arrival and departure point in our tours.
- All personal expenses such as mini-bar, hotel bar, extras at restaurants, shopping, gifts, telephone charges, etc.
- Your personal medical and travel insurance.
Booking and payment
- To make your booking you must be over 18 years old and complete the online booking form. This booking form constitutes your order to buy your cycling tour from us under the stated terms and conditions.
- In case of a global booking for a constitued group, it must be completed by the group leader for and on behalf of all the other participants named on the form. The group leader is responsible for all the obligations of this contract on behalf of his/her group and will be deemed to be authorized to bind all members of the group to these terms and conditions
- The booking can be made online through our website or emailed to us.
- Your booking is valid only with the payment of a non-refundable deposit amounting :
30% of the full price of the holiday, if your booking is made more than 60 days before the date of your tour,
100% of the full price if the booking is made within 60 days of the date of your tour.
- The full payment or outstanding balance of the holiday are due 60 days before the date of the tour. Should you fail to pay the balance on time we reserve the right to consider your booking as cancelled by you and to open the booking to somebody else. This does not restrict or limit our right to invoice cancellation charges.
- Booking acknowledgment : you will receive a confirmation after the payment of your deposit and one after the payment of the full price of the holiday.
- By booking one of our tours you accept all the risks of such a holiday including the dangers inherent in cycling either on or off the road and any risks that result from adverse weather conditions and the poor condition of any road surfaces, amongst other things.
- Any change to your booking after its confirmation must be submitted by email. We will try our best to accomodate your requirements but we cannot guarantee a positive reply and we reserve the right to invoice an extra-cost if any and/or an administration charge.
If for some reason, and whatever this reason is, you or any member of your group need to cancel your holiday, the following cancellation penalties will apply, based from the date we receive the written notice of your cancellation and the date of the tour :
- More than 60 days : 10% of your deposit
- 30-60 days : 50% of total holiday booking
- 30 days or less : 100% of total holiday booking
Cancellation and amendment by Altitude Cycling Tours
In exceptional circumstances we keep the right to cancel or modify your holiday for the dates you have booked. We will either offer you an alternative holiday or if this cannot be arranged we will refund you the full amount paid to us. We will not be responsible for refunds of any costs incurred with parties other than ourselves. Exceptional circumstances may include the case where there are less than 4 guests booked on a tour within 30 days of its starting date.
By booking your holiday, you acknowledge that you have received and read all information in relation to your holiday. You confirm that you are in good health, sufficiently fit and trained to complete your tour. You are aware of the physical challenge related with your tour and of the risks and hazards of travelling and cycling on the road or off the road, as well as all risks or inconveniences resulting from – among others- adverse weather conditions, road or traffic problems, damage to or loss of property. Your participation at the tour and the cycling is at your own risk. In this regard, it is your responsability to respect all traffic rules and ride with caution for you and others. We strongly recommend to wear a helmet and bike gloves.
Limitations on our liability yo you
Force majeure / Circumstances beyond our control
We cannot pay any compensation, reimburse expenses, or cover losses for any amount or otherwise accept responsibility if, as a result of circumstances beyond our control, we have to change your holiday before or after departure, or we, or our suppliers, cannot supply your holiday, as we, or they, had agreed, or you suffer any loss or damage of any description. When we refer to circumstances beyond our control, we mean any event that we, or the supplier in question, could not foresee or avoid, even after taking all reasonable care. Such circumstances will usually include, but are not limited to, unavoidable technical problems with transport, war or threat of war, civil strife, industrial disputes, natural disaster, bad weather (actual or threatened), epidemic, terrorist activity.
Specific limitations on our liability
If the contract we have with you is not performed or is improperly performed by us or our suppliers we will pay you appropriate compensation if this has affected the enjoyment of your holiday arrangements. Our liability – except in cases involving death or injury, caused by our negligence – shall be limited to the amount you paid per person for your holiday. We will not be liable where any failure in the performance of the contract is due to your own actions or the actions of those in your party, a third party unconnected with the provision of the holiday (or any part of it) and where the failure is unforeseeable or unavoidable, unusual and unforeseeable circumstances beyond our control, the consequences of which could not have been avoided even if all due care had been exercised, an event which we or our suppliers, even with all due care, could not foresee or forestall.
We are entitled to deduct from any compensation otherwise payable to you, any sums that you may be paid by any of our suppliers that relate to the same event or circumstances giving rise to any liability on our part.
Should you or any member of your party suffer illness, personal injury or death attributable to a third party unconnected with the provision of the holiday, or as a result of failures due to unusual and unforeseeable circumstances beyond our control, the consequences of which could not have been avoided even if all due care had been exercised, or an event which we or our suppliers, even with all due care, could not foresee or forestall, we will offer you such advice, guidance and assistance as is reasonable in the circumstances.
We cannot accept any liability if you are refused entry onto a flight or into any country due to failure on your part to carry the correct passport, visa or other documents required by any airline or authority.
We shall not be liable to you for any loss of or damage to your property caused by your own act or omission, or claim for disappointment, for loss of enjoyment, tiredness or illness, or loss incurred as a result of Force Majeure, or loss incurred due to the theft or the loss of your personal belongings including the bicycle, the bike case, the luggage – when not in our direct control- ; or loss incurred due to injury as a result of cycling either on or off road; or loss related to any business of yours such as lost data, lost profits, loss of business, loss of contracts, other business loss that you may incur as a result of any breach of these terms and conditions; or other special, indirect or consequential losses.
Unless otherwise expressly indicated by us in writing, excursions or other activities that you may choose to book or pay for whilst you are away are not part of the holiday provided by us. For any excursion or other activity that you book, your contract will be with the operator of the excursion or activity and not with us. We are not responsible for the provision of the excursion or activity or for anything that happens during the course of its provision by the operator and this applies even where a representative of Altitude Cycling Tours accompanies the activity or excursion.
Nothing in these terms and conditions affect any statutory rights that you may have under the relevant jurisdiction applicable, as stated herebelow.
Participants are responsible for having an appropriate travel and medical insurance covering accident, personal injury, medical repatriation, loss of luggage and cancellation.
This cover is a mandatory condition of your booking which must be confirmed by you on our booking form.
We cannot accept liabiiity for any costs that you or anyone in your group may incur as a result of failing insurance.
Transfers and transport
Transfers and transport, from and to airport, and during the tour rides, may be by our own vehicles or with a third party provider with whom we might make arrangements. The necessity to combine different arrival and departure times of different flights at the airport may require additional waiting time at the airport, which we try to limit to the minimum.
Although we plan enough time on the last day to transport you on time and safely to the departure airport, unforeseeable and exceptional circumstances may delay the transfer. We will not be responsible for any loss incurred by you as a consequence. This liability shall be covered by your travel insurance.
Authority and behaviour
It is your responsibility to strictly observe the traffic rules at all times and to ride with caution with due care for other road users.
Taking part in our tours implies that you accept the authority and the decisions of the road captain or team leader who represents Altitude Cycling Tours.
Altitude Cycling Tours reserves the right to cancel or modify tours, itineraries, programs, schedules, other activities or facilities at anytime without notice and without liability, for any reason such as -but not limited to- weather or road conditions, technical problems, strikes, riots and in the event of force majeure. We shall not be obliged for any compensation or loss whatsoever to any participant by reason of such cancellation or changes.
Any participant committing any illegal act or violation of law will be legally and financially liable of its act and may face an immediate exclusion of the tour without any right to compensation. Altitude Cycling Tours and any third party reserve the right to claim a compensation for pain and for damages.
Any participant having an inappropriate behaviour during the tour, in the reasonable opinion of the team leader or the representative of Altitude Cycling Tours, causing or likely to cause danger, distress or disturbance to other participants, members of Altitude Cycling Tours, property or any third party, may face an exclusion of the tour without any right to compensation.
A participant may be asked to stop riding or to leave a facility at any time if, in the reasonable opinion of the road captain or the representative of Altitude Cycling Tours, the participant is judged unfit for cycling or travel, and may jeopardize his/her health or the progress of the whole group. The participant shall not be entitled to any refund, and Altitude Cycling Tours shall be responsible for all lodging, meals, return transportation as initially planed.
Any advice on clothing, weather, equipment, riding, etc. given to you during your holiday, is done in good faith and as such we are not liable if the information is not accurate.
We follow a non-smoking policy inside our vehicles and accomodation. French law prohibit smoking in all public indoor places.
We reserve the right to deny any participant to bring on the tour any item or external person that we consider inappropriate. No animals are permitted.
Bikes & GPS
If you bring your own bike, it is your responsabilty to bring your bike in a perfect condition to ride. If you request us to make any repair or changes to your bike, we reserve the right to invoice you the cost of the work and parts. Our mechanical and maintenance service is limited to the problems occuring during and after the daily rides. Spare parts will be invoiced to you.
In case you rent a bike through us, it is your responsability to check before riding that the set up corresponds to your requirements. Any change of performance (with a special care for the brakes which are heavily used on mountain roads) or mechanical problem during the ride must be reported to our staff for remedial action. You are responsible for any damage to the bikes (excluding any minor nicks or scratches) and liable for the replacement cost should the bike be lost or stolen. In case we cannot supply the specific bike that you have pre booked, we will do our best to offer you another bike with comparable standard and specifications instead.
If you use one of our GPS, you will be liable for the full repair or replacement cost (on the basis of a new one) in the case of loss or damage.
Complaints & claims
Any complaints must be shared with our staff at the earliest opportunity. We will do our best to resolve the issue as soon as possible to your satisfaction. In case, we would fail to do so, you can send us a written claim within 30 days after the final day of your tour. Past this delay, any claim will be null and void.
All personal information provided to Altitude Cycling Tours is safeguarded in the strictest confidence and will not be shared with or sold to any third parties. All online payment information is protected by secure encryption.
In order to manage your booking and arrangements, to communicate with you about your travel, to send you information about Altitude Cycling Tours and its activity, we may collect the following information relating to you or other members of your group:
- Names and contact/address details including telephone number and email address,
- Credit/debit card or other payment details (including card number, cardholder name, expiry date),
- Special requirements related to any dietary restrictions, disability or medical condition which may affect the chosen arrangements,
- Other personal information relevant to your booking and bike rental

Law & jurisdiction
The contract, booking conditions and any matters arising from them are subject to and governed by French law.
The relevant court will be the Tribunal de Commerce of Annecy for any action.
